Reporting

The Reports tab allows you to view, filter, and export detailed summaries of your processing history.

With the exception of the "Deposits - Pending Batches" report (which shows current-day transactions prior to batch closing), all reports display data from the previous day by default.

Available Report Types

On the right side of the screen, you can select from four different report types:

  • Activity: Displays all transactions processed through the system, including both approvals and declines. Because declines are included, the total dollar amount shown here will not necessarily match your actual settled funds.
  • Declined: Shows only the transactions that failed due to a decline by the cardholder's bank.
  • Deposits - Closed Batches: Shows all authorized (approved) transactions categorized by card type or terminal, representing funds that have been batched out.
  • Deposits - Pending Batches: Shows authorized transactions for the current day that have not yet been closed out in a batch.

Navigating and Filtering Reports

  1. Date Range: Use the calendar icons to adjust the reporting date range. By default, E-xact displays the previous day's data (e.g., 12am to 12am).
  2. Merchant & Grouping: Use the Merchant dropdown to filter by a specific account. You can also use the radio buttons to Group By Terminals or User Names. Click Submit to refresh the data.
  3. Drill Down: In the generated summary, you can click on a specific merchant account or terminal link to view the itemized list of transactions that make up those totals. From that itemized list, you can click on transaction icons to view details, view audit history, or issue refunds/voids (just like in the Transactions tab).

Exporting Reports

Above the report summary, you have three options to export or share the data:

  • Print: Prints a copy of the current screen.
  • Download CSV: Generates a complete .CSV file of the report data. Depending on your browser settings, it will either prompt you to save the file, open it directly, or require you to right-click the link and select "Save As...".
  • Email Report: Allows you to send a copy of the report directly to an email address.

Deposit Reports vs. Bank Statements

E-xact's Deposit reports are generated by our system, not your bank processor. If the totals here do not perfectly synchronize with your bank statements, it is usually due to:

  • Settlement Timing: Our reports reflect when the batch closed, but actual funding to your bank usually takes 24-48 hours.
  • Cut-off Times: Your bank processor may close your daily settlement at a different time than what is displayed in our system (contact Customer Support to adjust your portal cut-off times to match your processor).
  • Card Types: American Express and other private label cards often take longer to settle funds depending on your specific merchant terms.
  • Refunds: Withdrawals from your account for refunds often have different timing than standard deposits.
