Transaction Search & Management

The Transactions tab allows you to locate past payments, view detailed receipts, and perform follow-up actions like refunds, voids, and pre-auth completions directly from your portal.

1. Searching for Transactions

  • Select Account: Choose the desired Merchant Account and Terminal from the dropdown menus.
  • Set Parameters: By default, you will be on the Basic search tab where you can enter a search string or select a specific Date range (e.g., "Post month"). (Note: Larger date ranges will take longer to load).
  • Advanced Search: Click the Advanced search tab to filter by specific dollar amounts, transaction types, card types, cardholder details, or reference numbers.
  • View Results: Click the Search button to generate your list. You can customize the columns displayed by clicking the Preferences tab.
  • Export: Use the Print or Download CSV links above or below the results table to export your data.

2. Viewing Transaction Details

Click on any individual transaction line item to expand its details.

  • Receipts: Click Print Receipt to generate a simple Customer Transaction Receipt (CTR), or Print Details for a full data breakdown. You can also click Email Receipt to send a copy directly to a customer.
  • Bank Responses: The exact Bank Response Message is displayed in the expanded details. You can click the yellow "?" (Help) icon to look up the exact meaning of the response code.
  • Audit History (Clock Icon): Clicking the clock icon next to a transaction shows its full lifecycle history (e.g., viewing an original purchase alongside its subsequent refund details).

3. Taking Action on Transactions

Depending on the status of a transaction, specific action icons will appear next to the record. Clicking these icons expands a menu with the transaction amount pre-populated.

RRefundClick the R, adjust the amount if you only want to issue a Partial Refund, enter any reference data, and click Submit Refund. The R remains until the full amount is reimbursed, after which it becomes a clock icon.
VVoidClick the V, enter reference data, and click Void Transaction. Once fully voided, the icon changes to a clock.
CComplete (Pre-Auth)Click the C to capture funds for an open Pre-Authorization. You can adjust the amount down if capturing less than the authorized total. Once completed, the C disappears and a separate "Tagged Completion" record is created.
PencilEdit ReferencesClick the Pencil icon (or "Ref Update" link) to update the Reference Number or Customer Reference (e.g., adding a tracking/waybill number after the fact).

Voiding Restrictions

Voids can only be performed on the same day as the original transaction, prior to your terminal's daily batch closing. If the batch has already closed, you must issue a Refund instead.

Editing Reference Data

The ability to edit reference numbers (using the Pencil icon) is only available for approved Pre-Authorized transactions that have not yet been completed.
